Material Lifecycle — Status Flow
User Roles
LRMS serves five distinct roles. Teachers are the primary beneficiaries — every other role exists to ensure the quality of materials that teachers access.
Every workflow, every quality check, and every clearance document exists to ensure that when a teacher clicks Download — the material is ready, reliable, and reviewed.

Every material in LRMS follows this structured path. No stage can be skipped — the system enforces the sequence automatically.
Author creates material in My Materials. A live 7-section checklist guides completion of title, type, audience, grade level, standards, scope, and copyright. Source file (DOC/DOCX/PDF) is uploaded.
Author selects District QA reviewers (content + language required) and Division QA reviewers (required). Multiple reviewers per type are supported. Each reviewer gets an independent assignment.
Assigned district reviewers evaluate the material for content accuracy and language quality. Reviewers can return the material with comments or advance it. Evidence attachments are supported.
If returned, the author reviews all per-reviewer comments, updates metadata and/or the file, and resubmits. Each reviewer's revision cycle is tracked independently. Can repeat multiple times.
Division reviewers access the assignment only after all district-tier assignments are completed. Division QA is required — the material cannot advance to Ready for Publish until division-level review is also complete.
System automatically advances material to Ready for Publish once there are no active assignments and all required QA types (content, language) have confirmed approvals across both tiers.
Admin reviews ready materials and tags them for paperless clearance. LRMS automatically generates and assigns all required publication documents to the appropriate participants.
Assigned participants confirm their documents in My Confirmations using their digital signature snapshot. Specialty clearance roles (EPS-LRMS, CID-CHIEF, SDS) are tracked by role. Real-time progress visible to Admin.
Admin publishes after all required clearance documents are confirmed. A published PDF is required for distribution. Material becomes visible in the Library immediately after publishing.
Teachers search and download the material from the Library. Every download is automatically logged with user, school, district, and timestamp for Admin analytics and utilization monitoring.
Quality Assurance
LRMS enforces a two-tier quality review gate. District reviewers must complete their evaluation before division reviewers gain access — ensuring locality-aware review before higher-level oversight.
The QA Review sidebar item shows a live badge count of pending assignments so reviewers never miss work in their queue.
Reviewers can attach supporting files alongside their comments — rubrics, annotated copies, or reference documents.
QA Oversight supports a grouped-by-material view (expandable reviewer rows) and a flat audit list view for comprehensive scanning.

Full-text search across title, author, keywords, description, and content/topic. Filter by material type, learning area, grade level, quarter, week, and district. Click Download to receive the published PDF instantly — all logged automatically.
The material form shows a 7-section progress bar and checklist that updates in real time. Contextual tips guide authors on what each field means, reducing incomplete submissions and QA rework.
Both district and division reviews are required. District review must complete first; division review follows. Multiple reviewers per QA type are supported. Each reviewer's timeline (returns, resubmissions, approvals) is tracked independently.
12 publication documents are automatically generated and assigned. Participants confirm digitally using their signature snapshot. No manual paper routing. Admin gets real-time completion tracking.
Signatures are captured at confirmation time, not at printing. Each clearance document preserves the exact signature image that was active when the confirmation was made.
Admin dashboard shows total downloads, school reach, district reach, and a recent activity feed per material. Useful for identifying content gaps and planning support per district.
Division-scoped materials are visible to all users. District-scoped materials are visible only within the same district. Admins see everything. Rules are enforced automatically.
Writers, illustrators, and layout artists are linked to user accounts. External contributors (not in the system) can also be named. Contributor snapshots are preserved in clearance records.
Admin can directly upload and publish materials from Central Office (CO), Regional Office (RO), or pre-existing division materials that were already quality-assured before LRMS. These bypass the local QA workflow — making nationally and regionally cleared resources immediately available in the Library.
The subject/learning-area list is table-backed and editable through Settings. Admin can add or remove subjects without any code change. All forms and filters draw from this managed list.

Click Download from any Library item. You get the published PDF. Your download is automatically logged for analytics.
District-scoped materials are only visible to users in the same district. Division-scoped materials are available to everyone.
Go to My Materials to create and submit your own learning resource. The form guides you with a live checklist.
Status updates appear automatically in My Materials — from Draft through In Review to Published.
If assigned as a document participant or signatory, open My Confirmations to view and complete your queue.
